How to Automate Client Onboarding for Accounting Firms Using n8n and QuickBooks

What You'll Build

A workflow that triggers the moment a new client fills out your intake or engagement form. It automatically creates the client as a customer in QuickBooks Online, sends them a branded welcome email with their next steps, and posts a notification to your internal Slack channel so your team knows a new client just came on board, without anyone touching a keyboard.

Step-by-Step Walkthrough

1

Create your intake form trigger

If you're already using Typeform or JotForm for client intake, add a Webhook node in n8n and connect it to that form's native webhook/integration settings. If you don't have a form tool yet, n8n's built-in Form Trigger node lets you build a simple intake form (client name, email, company, service package) with zero extra tooling.

Either way, this node is where your workflow starts: it fires the instant a new client submits the form.

2

Connect and authenticate QuickBooks Online

Add a QuickBooks Online node right after your trigger. On first use, n8n will ask you to authenticate via OAuth2, log into your Intuit account and grant access. This connection is reused for every future run, so you only do this once.

3

Create the customer record

Set the QuickBooks node's operation to Create Customer. Map the fields coming from your form trigger (name, email, company) into the corresponding QuickBooks customer fields. This is also the right place to map a custom field for "service package" if your firm tracks that inside QuickBooks.

4

Send the branded welcome email

Add a Gmail or SMTP node after the QuickBooks step. Use an HTML email template with merge fields for the client's name and their assigned point of contact. Keep this email focused on one thing: what happens next (e.g. "you'll receive a secure document request within 24 hours").

5

Notify your internal team

Optionally, add a Slack node (or Microsoft Teams, if that's your stack) posting a short message to your onboarding channel: client name, package, and a link to the new QuickBooks record. This replaces the "hey, heads up, we have a new client" message someone currently has to type manually.

6

Test with a real submission

Submit a real (or dummy) entry through your form and watch the execution log in n8n. Confirm the customer actually appears in QuickBooks, the email lands correctly, and the Slack message fires. Fix field mappings here before this ever touches a real client.

Common Pitfalls

Duplicate customers: if a client already exists in QuickBooks under a slightly different email or name, this workflow will create a duplicate. Add a Search Customer step before the Create step to check for an existing match first.

OAuth token expiration: QuickBooks OAuth tokens can expire if the connection sits unused for too long. If your workflow suddenly fails after weeks of working fine, re-authenticate the QuickBooks node first, that's the usual cause.

Silent form failures: if your form tool changes its webhook payload structure (this happens after some platform updates), field mappings can silently break. Set up an n8n error workflow that alerts you by email if any execution fails.

Recap

This workflow turns a manual, multi-step onboarding checklist into a single automated sequence: form submission, QuickBooks customer creation, welcome email, and internal notification, all within seconds of a client saying yes. The core pattern (trigger, create record, notify) is reusable for almost any onboarding process beyond accounting firms.
